This policy explains how we collect, hold, use and disclose personal information, and how you can contact us about your privacy.

2. Personal information we collect

The information we collect depends on your relationship with us and the services you request. It may include:

  • Your name, contact details, address and date of birth.

  • Tax file number, Australian Business Number and other identification details.

  • Employment, income, taxation, superannuation and financial information.

  • Business records, bank statements, accounting records and transaction information.

  • Information about your spouse, dependants, employees, business associates or other people where relevant to the services we provide.

  • Information you provide through our website, contact forms, Google Ads lead forms, email, telephone or other communications.

  • Website usage information, such as IP address, browser information and interactions with our website, where collected through cookies or analytics tools.

We may collect sensitive information where reasonably necessary for our services and permitted by law, including information relevant to taxation, employment or other professional matters. We will only collect information that is reasonably necessary for our functions or activities, or otherwise permitted or required by law.

3. How we collect information

We generally collect personal information directly from you when you contact us, complete an enquiry form, engage our services, provide documents or communicate with us.

With your authority, or where otherwise permitted by law, we may also collect information from third parties such as the Australian Taxation Office, government agencies, employers, financial institutions, previous accountants, accounting software providers and other professional advisers.

Where practicable and lawful, you may make a general enquiry without identifying yourself. However, we will generally need to verify your identity before providing tax or accounting services.

4. How we use your information

We collect and use personal information to:

  • Respond to enquiries and arrange appointments.

  • Assess whether we can provide the services you request.

  • Provide accounting, taxation, bookkeeping, payroll, business advisory and related services.

  • Prepare and lodge tax returns, BAS, financial statements and other documents.

  • Communicate with you and manage our professional relationship.

  • Verify identity and comply with legal, regulatory and professional obligations.

  • Maintain records, issue invoices and administer our business.

  • Improve our website, services and client experience.

  • Send service updates or marketing communications where permitted by law.

We will not use your personal information for an unrelated purpose unless you consent or the use is otherwise permitted or required by law.

5. Website enquiries and Google Ads lead forms

If you submit an enquiry through our website or a Google Ads lead form, we may collect your name, email address, telephone number and information about the services you are interested in.

We use this information to respond to your enquiry, arrange a consultation and provide information about our services. We may also use enquiry information to measure the effectiveness of our advertising and improve our marketing, subject to applicable law and your choices.

Please do not submit tax file numbers, identity documents, bank account details or other sensitive financial information through a general website or advertising enquiry form. We will provide an appropriate method for supplying sensitive documents when required.

Information submitted through a third-party advertising platform may also be processed by that platform in accordance with its own privacy practices.

6. Cookies, analytics and advertising

Our website may use cookies and similar technologies to support website functionality, understand visitor activity and measure advertising performance.

We may use services such as Google Analytics and Google Ads to understand how visitors find and use our website and to measure enquiries generated by advertising. These services may collect information such as device identifiers, IP addresses, browser details and website interactions.

You can manage cookies through your browser settings and, where available, through the consent options presented on our website. Disabling some cookies may affect website functionality.

We do not intentionally provide tax file numbers or sensitive client financial records to advertising platforms for advertising purposes.

7. Disclosure of personal information

We may disclose personal information where reasonably necessary to provide our services or comply with our obligations, including to:

  • The Australian Taxation Office and other government or regulatory authorities.

  • Accounting, tax, practice management, document signing and cloud technology providers.

  • Banks, financial institutions and other third parties where authorised by you.

  • Professional advisers, contractors or service providers assisting our practice.

  • Insurers, legal advisers or professional bodies where reasonably necessary.

  • Other parties where you have consented or disclosure is required or permitted by law.

We do not sell client personal information to third parties.

We take reasonable steps to ensure that service providers handling personal information on our behalf are subject to appropriate confidentiality and security obligations.

8. Overseas disclosure and cloud services

We use cloud-based technology providers, including Microsoft 365 and Xero, to support our accounting practice, document storage, communications and business operations.

Our Microsoft 365 business tenant is configured for Australian data residency, where applicable. Xero and other service providers may store, access or process personal information in Australia and overseas, including New Zealand and the United States. Other countries may be involved depending on the service provider, its subprocessors and the features we use.

Where personal information is disclosed overseas, we take reasonable steps to ensure that appropriate privacy and security protections are in place and that the disclosure complies with applicable Australian privacy requirements.

9. Security and confidentiality

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

Our security measures may include access controls, password protection, multi-factor authentication, secure cloud systems, appropriate document handling procedures and restrictions on access to client information.

We also maintain professional confidentiality obligations in relation to information obtained through our accounting services.

No electronic transmission or storage system can be guaranteed to be completely secure. If you believe information you have provided to us may have been compromised, please contact us promptly.

10. Tax file numbers and sensitive documents

Tax file numbers are handled in accordance with applicable taxation and privacy requirements, including the Privacy (Tax File Number) Rule 2015.

We collect, use and disclose tax file numbers only where authorised by law and take reasonable steps to protect them from unauthorised access, use or disclosure.

We may ask you to provide sensitive documents through a secure client portal or another appropriate method rather than through a general website enquiry form.

11. Retention and disposal

We retain personal information for as long as reasonably necessary to provide our services, maintain professional records and comply with applicable legal, taxation and regulatory requirements.

When information is no longer required and we are not legally required to retain it, we take reasonable steps to securely destroy or de-identify it.

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, incomplete, out of date or misleading.

To make a request, please contact us using the details below. We may need to verify your identity before providing access or making changes.

We will respond within a reasonable period and explain any circumstances in which access or correction cannot be provided under applicable law.

13. Marketing communications

We may contact you about our services, updates or information that may be relevant to you where permitted by law.

You may opt out of marketing communications at any time by using an unsubscribe option where provided or contacting us directly. Opting out of marketing will not prevent us from sending communications necessary to provide services or meet our legal obligations.

14. Privacy complaints

If you have a concern about how we have handled your personal information, please contact us using the details below.

We will acknowledge and investigate your complaint and aim to respond within 30 days. If we need more time, we will let you know.
